Terms of service
The terms for using Rina. They describe what the software does today. Where something is not settled yet, it is marked.
The service
Rina is software for real estate brokers: a workspace for leads, listings, deals, commission, documents, appointments and payouts; property management (tenancies, rent cheques, inspections, maintenance and landlord statements); off-plan projects, with expressions of interest and bookings; billing documents for clients; public pages for members and workspaces; and an AI assistant on members' public pages.

Accounts and workspaces
- An account needs your name, an email address and a password of 10 to 128 characters. Rina does not check yet that the email address is yours: it sends no email to confirm it. While Rina cannot send email, anyone holding an invite link can create an account with the invited address and join with it.
- A workspace has owners, admins and agents. Owners and admins invite people and manage members; only owners make someone an owner or an admin, or change an owner's access.
- Who sees what: owners and admins can see every member's leads, deals, tasks, appointments, vault documents (including passports and Emirates IDs) and payout bank details, and the property-owner records (with ID numbers), tenancies (with tenants' Emirates ID numbers), inspections, maintenance requests, landlord statements, expressions of interest, bookings and billing documents each member keeps, and change most of them. Agents see their own of each of these, the workspace's own documents, and every listing in the workspace, but not the unit number, owner, title deed reference or Form A of another agent's listing. The privacy policy says more.
- Your profile is yours, and goes with you to any workspace you join; the members of each workspace you are active in can see its contact details, BRN and photo. Your page in a workspace, and the workspace's leads, listings and deals, stay with the workspace. So do the documents in your vault there (passport, Emirates ID, visa, broker card): once you are suspended, the workspace's owners and admins can still open them, and you can no longer see or delete them.
- Owners can suspend any other member; admins can suspend agents and other admins, but not owners. A suspended member can no longer open the workspace. Suspending someone also cancels the invitations they sent and removes their calendar feed address and their page video. Nobody changes their own access: another owner or admin does. There is no way yet to leave a workspace or to be removed from one, only to be suspended.

Sign-up has no step for either yet, nor does choosing a plan. Once Rina's email is set up, an invitation can be accepted only from a confirmed address, but Rina has no step yet that sends the confirmation email, so that step must be built before email is turned on, or nobody new can join by invitation.]

Signing up
New workspaces are closed to the public. Rina opens them only by changing its own code and releasing it; no setting opens them. While they are closed, people can still create an account, so that someone invited to a workspace can join it, but nobody can create a workspace of their own. While they are open, anyone with an account can create a workspace, and becomes its owner. A person can create a workspace only while they own fewer than 10, and can create up to 3 a day.

Plans and prices
- Solo: AED 149 a month or AED 1,490 a year, for one person. It includes commission on deals and billing documents for clients.
- Team: AED 99 a seat a month or AED 990 a seat a year, from 3 seats up to 500 seats. It includes commission on deals, billing documents for clients, payout requests and the AI assistant.
- Brokerage: AED 79 a seat a month or AED 790 a seat a year, from 1 seat up to 500 seats. It includes commission on deals, billing documents for clients, payout requests, the workspace's share of each deal and the AI assistant.
Prices are in UAE dirhams (AED), before VAT. VAT at 5% is added.

Rina works out every amount on its own server, from the plan, the billing period, the seats and any discount code. An amount sent from a screen is never used.
Workspaces made before billing
- A workspace made before Rina began charging keeps its original access: every feature, any number of people, nothing to pay. It never starts a trial, never becomes read-only for want of a plan and is never charged. Its owners may choose a plan at any time; from then on it is billed like any other workspace.
The free trial
- Every workspace made after Rina began charging starts with a free trial of 14 days, with every feature except the AI assistant, and room for up to 25 people.
- The trial normally ends 14 days after the workspace is made (below says when it runs longer). If it ends without a plan, the workspace becomes read-only.
- Its owners are told when about 3 days are left.
- A trial does not end while Rina cannot take payments. A trial that ran out, or all but, before its owners could be told it was ending runs for a further 14 days from the first morning they can be.
- A plan chosen during the trial is paid for at once and applies from then. Its first paid period starts when the trial ends, so no trial days are lost.
Seats
- Each active member, and each open invitation that still works, takes a seat, in the trial and on every plan (a workspace made before billing has no seat limit). Inviting someone, or bringing back a suspended member, needs a free seat. An open invitation holds its seat, so accepting it needs no other.
- A plan must be bought with a seat for everyone active and invited. When a plan starts, or renews with fewer seats, the open invitations its seats cannot hold are cancelled, the newest first, and the owners are told.
- Adding seats first shows the exact amount (each new seat's share of the rest of the current period, plus VAT) and charges the saved card only once an owner confirms that amount. On a partner plan, added seats are free. Seats cannot be added while there is no card on file, while the workspace is past due, or while another seat change is being paid for or checked. Removing seats takes effect at the next renewal, never below the people active and invited, and nothing is refunded for the current period.
- At each renewal, seats are raised to cover everyone active, and charged for. The one exception follows a partner plan (below): then only the seats an owner chose are charged, everyone keeps access, and nobody more can join until an owner adds seats or suspends someone.
- Solo is for one person. A Solo workspace with more than one active member renews on Team, with a seat for each active member and at least Team's minimum of 3 seats, and its owners are told. The exception follows a partner plan (below): if its owner's plan was Solo, it renews on Solo, for one person, as its owner chose; everyone keeps access, and nobody more can join while more people are active than it has seats for.
Paying and renewals
- Only an owner chooses a plan, pays, changes the seats or the plan, or cancels. Admins can see Rina's billing page and invoices for the workspace, and change nothing there. This is Rina's own billing of the workspace, not the billing documents a workspace sends its clients, whose settings owners and admins both manage.
- You pay by card on Mamo Pay's payment page. The card you pay with is saved with Mamo Pay for renewals. Rina keeps a reference to the saved card, its last four digits and its type, never the card number.
- The plan renews at the end of each month or year, and the saved card is charged in Rina's morning run, until you cancel. A change to another plan or billing period applies from the next renewal.
- A renewal or added-seats charge whose total is above zero and under AED 1 is not charged, and its invoice shows it as waived. A payment on Mamo Pay's payment page must be at least AED 2.
Failed payments
- If a renewal payment fails, or there is no card to charge, the workspace keeps working while Rina tries the card again in its morning run, up to 3 times: about 1, 3 and 5 days after the first failure. The owners are told each time, with the date of the next try, except when a try is skipped because an owner has a payment page open.
- While the workspace is past due, or read-only because an invoice went unpaid, an owner can pay the latest open invoice on a new payment page while its period lasts, except while the saved card is being charged for it or a charge for it is being checked. The invoice must be at least AED 2 to be paid this way. If Mamo Pay saves the card used, it replaces the saved card.
- If the last try fails, or the period ends with the invoice still unpaid, the workspace becomes read-only. An owner can then pay the invoice while its period lasts, or choose a plan again after that.
- If Rina cannot tell whether a card charge went through, it does not charge the card again: a person at Rina checks the payment with Mamo Pay, and the tries for that invoice wait until they have. The owners are told when the card was not charged and a person is checking it.
Read-only workspaces
A workspace becomes read-only when its trial ends without a plan, when a payment is still unpaid after the last try or at the end of its period, and when a cancelled plan reaches the end of its period. Its members can still read everything in it, but cannot add or change records. Its owners and admins can still suspend members, give a member a lower role and cancel invitations; nobody new can join, and nobody suspended can be brought back. An owner can still choose a plan or pay on Rina's billing page, which ends it.
Its public pages keep working, without the AI assistant, and still take enquiries and booking requests, which become leads and appointments in the workspace. Rina does not delete the workspace or its records because it is read-only, and the saved card stays on file. Its daily jobs keep running: records removed before then are cleared 30 days after removal, AI assistant conversations 30 days after their last message, and listings whose permit expires are taken off the market.
Cancelling
An owner can cancel at any time. The plan runs to the end of its current period, then the workspace becomes read-only. A renewal still unpaid when you cancel is still collected. Until the period ends, an owner can undo the cancellation. Nothing is refunded. Cancelling does not delete the workspace or its records, and the saved card stays on file.
Partner plans
- A partner plan is never a code anyone can enter: no discount code can take 100% off. Only Rina grants a partner plan, or ends one.
- A partner plan gives a workspace a plan at no charge, with an invoice that totals zero for each billing period: monthly when the partner plan starts at once, and the workspace's own monthly or yearly period when it starts at the next renewal. Nothing is sent to Mamo Pay. A workspace part way through a period it has paid for keeps that period, and the partner plan begins at its next renewal; any other workspace starts it at once, and its open invoices are cancelled.
- When Rina ends a partner plan that has begun, the period running stays free, and the owners are told when it ends. After it, the workspace has again what its owner had before the partner plan began (the plan, billing period, seats and any discount code), with the changes an owner made during it. From the next renewal those seats are charged on the card on file; with no card, the renewal fails as described under failed payments.
- A partner plan granted to begin at the next renewal and ended before then is dropped: the workspace renews as its owner chose, or ends if they had cancelled.
- If an owner had cancelled, or the workspace had no paid plan running when the partner plan began, nothing is charged after it: the workspace becomes read-only when the period ends, until an owner chooses a plan. For a workspace that had no paid plan running, Rina also removes its record of the saved card.
Discount codes
The payment step takes a discount code, but Rina has issued none yet.
- A discount code takes a percentage, from 1% to 99%, or a fixed amount off each period's invoice, for the number of billing periods it states or for as long as the plan lasts. A code may apply only to some plans, and may expire.
- A fixed amount is not taken off a charge for added seats; a percentage is.
- At a renewal on a plan the code is not for, the code ends. So does a code for a fixed amount, or for a number of periods, when the billing period changes from monthly to yearly or back; a percentage for as long as the plan lasts carries on.
- A workspace can try up to 10 codes an hour.
Invoices
- Rina issues an invoice for each plan bought, each renewal, each change that adds seats and each billing period of a partner plan. Invoices are numbered with RINA, the workspace's own code and a number in sequence with no gaps, such as RINA-XXXXXXXX-0001. Owners and admins can see them and download each as a PDF.
- The PDF names the workspace, with its billing address and tax registration number as they are when the PDF is first made. It carries no card details.
- Rina does not email invoices; it asks Mamo Pay to email the payer its own receipt.
- While Rina's legal name is not set, an invoice says that the seller's details are pending. Invoices are titled tax invoices only once its legal name and tax registration number are both set, and each invoice keeps the seller's details as they were on the day it was issued.
- When a workspace whose payments lapsed starts again, with a new plan or a partner plan, its open invoices are cancelled, keeping their numbers.

Refunds
Rina's software makes no refunds, and refunds nothing when a plan is cancelled or seats are removed. A payment Rina cannot apply, such as a plan paid for while the workspace already had one, or seats paid for in a period that has since ended, is left for a person at Rina to refund.

Listings and permits
A listing cannot go live on Rina without a Trakheesi permit number that has not expired, and a daily check takes it off the market once its permit expires. An off-plan project shows on public pages only while its permit is valid.
Money in your deals
Rina works out and records commission, receipts and payouts. The money itself moves between you, your clients and your workspace through your own banks: Rina does not hold, receive or send it. Payout requests are part of Team and Brokerage and the trial. An owner or admin marks a payout paid with the bank's reference, after it has been approved. Both are done by an owner or admin other than the member being paid, who already held that role when the payout was asked for. A member approves and pays their own payout only when nobody else was an owner or admin then, and nobody else is now.
The AI assistant
Owners and admins can turn on an AI assistant for their workspace's public agent pages, on plans that include it (Team and Brokerage), on a paid plan or a partner plan, including while a payment is overdue, and on a workspace made before billing, which keeps every feature. The free trial does not include it.
Rina pays for it, up to a limit each month: AED 5 per seat on Team and Brokerage (on a workspace made before billing, the same for each active member). The limit is spread over the month's days, and once one visitor's network has used its share of a day's part or of the month, it gets no more answers until the next day or month. Once a day's part is used, the assistant stops until the next day; once the month's limit is used, it stops for the rest of the month, unless more seats raise the limit.
Visitors' messages go to Anthropic, which writes the replies. Rina keeps each conversation for 30 days after its last message. When the assistant passes a visitor's details on, the latest part of the conversation is copied to the lead, and stays with the lead. How it works and what it keeps are in the AI assistant notice. Records and limits
- Removed leads, listings, property-owner records and vault documents can be restored for 30 days, then they are deleted for good. A workspace's bin of removed leads or owner records is cleared early, oldest first, once it passes 10,000 leads or 5,000 property-owner records.
- Deal papers, which can include clients' passports and Emirates IDs, are kept after a deal is closed or cancelled. Tenancy records, with tenants' Emirates IDs, have no end date yet.
- Rina's billing records (the plan, payments, invoices and their history) have no end date yet.
- How long everything else is kept is in the privacy policy.
- A workspace can hold up to 10,000 leads and 5,000 property-owner records in use, and 5,000 listings, counting removed ones not yet cleared. Each vault holds up to 200 documents.
Services Rina uses
Rina runs on outside services, which handle the data in it: Convex (its database, files and server code), Vercel (hosting, and its bot check), Resend (email, once Rina's email is set up), Anthropic (the AI assistant) and Mamo Pay (card payments for Rina's plans). The privacy policy lists them and what each receives.

Acceptable use
